Approval Tracking is an online tracking system for requests associated with specific academic processes. It is currently used for requests regarding new courses, updates to existing courses, programs and degrees, and other academic processes. Note that this application does not replace Sunshine Statute requirements.
All college credit courses, certificates, and degree programs require approval, though graduate, undergraduate, and professional programs often have different approval steps. Please see the Policies page for more specific information.
The length of the approval process depends on the number of required approvals and whether the required forms were correctly filled out when the request was first submitted.
Go to the Start New Request page of this site and select the appropriate request type for your request, then select the applicable process and follow the displayed instructions.
The original submitter can make changes to the documents attached to a request at any time.
You can see a list of all College and Department level approvers on the Groups & Approvers page. If an approver needs to be added or removed from the Approver list, the department chair or appropriate college administrator can submit a Change Approver Request.
There are three different email notifications sent out by the Academic Approval Tracking system. They are "Decision needed on a request," "Change to a request," and "Request has been approved." Notice the different subject lines (highlighted in yellow below). Each of these email types are briefly discussed below.
The academic approval tracking system will automatically route the request (including all accompanying forms and documents) to the following groups for approval and/or notification.
Catalog copy - catalog-style description of the certificate, requirements for entry, requirements for completion, and a suggested semester-by-semester plan, prepared as a Microsoft Word document.

Transient study refers to taking courses from another institution while you are still pursuing a degree from UF. Eligibility: You must have a minimum UF GPA of 2.0. You must be on-track for your current major. You must see an advisor if you have any academic holds.
The residency requirement means that your last 30 credits/hours towards your degree must be completed through UF. If you are applying for transient study in a Summer and intend to graduate that Fall or perhaps that following Spring, transient study may not be a good option.
A maximum of 60 hours from a state or community college may count towards your UF degree.
Send transcripts from that institution to UF when the final grade (s) posts. Over the course of the following semester, check and make sure that your transcripts have been received and that the coursework counts properly in your degree audit.
Approval does not guarantee that the course (s) will count towards any specific degree requirement (s); rather, the approval grants permission to take the course (s).
If you take a web-based course through another institution while taking an on-campus course at UF (or web-based through UF and on-campus at another institution) in the same semester, the UF course will not count towards residency.
You must see an advisor if you have any academic holds.
In general, each certificate page explains which students are eligible to pursue the certificate, any qualifications or prerequisites necessary to be eligible for the certificate and the requirements to complete the certificate.
Each certificate program must have at least nine credits that are distinct from every other certificate or minor. That is, certificates must contain at least nine credits of coursework that are unique to that program out of all other certificates and minors.
A record of good conduct. Major or continuing difficulty with school or other officials may render an applicant ineligible regardless of academic qualifications.
ACT or SAT scores can be sent directly from the testing agency or self-reported through your application status page. Scores must be received by UF by December 15. If your test scores are not received by the deadline, your application will be moved into the space-available applicant pool.
These are the minimum requirements for applying to UF. Note that admission to UF is competitive, and most admitted students will exceed these requirements.
Readmissions (Previously attended the University of Florida): All readmissions applicants go through an extensive hands-on review process directly by the College to which the applicant is applying. Due to the unique circumstances of each student, the readmissions process can look very different from one student to the next.
Competitive Admissions College GPA (Upper division applicants only): Your competitive admissions GPA is calculated by averaging your grades across the prerequisites listed for your major. Most programs include every attempt at a competitive admissions course, regardless of possible grade forgiveness. Each major has a minimum overall GPA requirement and a minimum prerequisite GPA specified for admissions, which you can locate on your major’s webpage.
Freshman Applicants If you have 0-11 transferable college credits, your application will undergo a holistic review. Your high school record, college transcripts (if applicable), extracurricular activities, unique contributions, and admissions essay are reviewed. If you graduated high school within the last 5 years, standardized test scores are also collected with your application.
Upper Division (60+ transferable credits): Un like freshman or lower division applications, your high school record and test scores are not required to determine your eligibility for admissions. Your college coursework is used to determine your eligibility for admissions as an upper division applicant.
Courses in progress are taken into account during the review process for admissions. It is very important to accurately report all courses in progress on your application, especially if you are taking prerequisites required for the major to which you are applying as an upper division applicant. With courses in progress, we do not assume that a specific grade will be earned, only that the current GPA will be maintained.
If you are missing prerequisites courses, you will need to complete the missing courses before reapplying.
No, the University of Florida does not issue grade forgiveness. Every attempt at transferable coursework is included in your GPA calculations. The one exception for grade forgiveness is if you have earned an Associates of Arts (AA) degree from a Florida state college.
This toolkit provides information about policies and procedures for the degree/minor/certificate certification process. It includes activities during preliminary preparation, preliminary certification, final preparation, and final certification.
