Before preparing a project schedule in Primavera P6, it is important to understand the functions of Calendars in Primavera P6. For a serviceable work schedule, the calendar must represent the real site conditions, weather conditions, non-work days, public holidays, etc. Working days and daily working hours are defined in P6 default calendars.

Project teams use time tracking software tools for many different purposes such as managing long-lead items, meeting project milestones, and tracking the project budget. However, many project managers and team members may find it difficult to select the most efficient software tool for tracking activities within their projects.
Although both time tracking tools simplify managing timelines and schedules of projects, they have key differences. They have different features, solutions, pricing, and pros and cons.
Considering the benefits, the cost of time management software is not too much. Most of them are user-friendly tools that make it easy to track activity dates. Improves teamwork. Why? Because every time you update this information for one activity, it automatically gets moved to its new “location” in the schedule, forcing you to make edits on a per-activity basis.
In order to access this feature, click the Tools menu, and select Global Change. You will be prompted to create or modify an existing rule.
Maintaining and assigning baselines is a very useful P6 feature that allows you, amongst other things, to easily report variances across different schedules. All you need to do is to add the project against which you’d like to compare your current schedule to, and then add variance columns to the activity table displaying the desired changes in the schedule.
To export the entire Primavera Schedule, press Ctrl+A to select all the information displayed on the Activity Table, then press Ctrl+C to copy and Ctrl+V to paste directly to the spreadsheet.
When deciding on the granularity and level of detail of your schedules, remember that P6 allows you to work on several projects at the same time and created logic ties between them. This feature gives you the flexibility to split the work into multiple, smaller schedules, without compromising the articulation between them.
Although P6 is more flexible than P3 when it comes to changing activity IDs, making edits for multiple activities can be cumbersome—especially if you’re dealing with, say, more than 10 activities or even worse: renumbering an entire schedule. In order to renumber multiple activities, all you need to do is highlight the line items whose IDs you need to update, right-click and select “Renumber Activity IDs”. You will then be prompted to i) define an increment value, ii) define prefix/suffix, or iii) replace characters in the current numbering structure of the selected activities.
Note that you can add multiple rules and use two logic operators (ie: apply changes if “any” or “all” of the rules created apply) to customize the Global Change you’re trying to implement. In this case of this tip, we only used a single rule; but the tool can clearly be utilized to implement more intricate and complex changes to the schedule.
Different working types can use different calendars. For example, site calendar may be 10-hours per day, 6-day work week calendar, office calendar may be 8-hour per day, 5-day work week calendar. Creating and assigning a calendar in Primavera P6 is an important process.

To perform this action, press CTRL+A to select all, CTRL+C to copy selected information and CTRL+V to paste it directly into a spreadsheet.
Primavera has resources which allow the scheduler to organize, sort and filter the resources glossary. As well as allow grouping and sorting in the resource assignments and profiles.
From the Activity Table level, highlight the required activities, right-click on the selection and choose the “Link Activities” option. You can can also do it visually by clicking and dragging your cursor from one bar to another in a Gantt chart.
While using Primavera P6, there will be times that you will be required to organize especially large schedules with large durations and activities. P6 will allows creating your own code categories and values for better organization.
Avoid using a layout that groups activities by a certain parameter as every time this information is updated for a single activity, it will move to a different location in the schedule. However, the problem can be solved easily by disabling this setting from the Tools menu or with the hotkeys shift + F12.
Adding a lot of detail to a schedule allows for smoother progression. In other words, news standing on a deliverable that’s portrayed by multiple activities within the schedule will be a much more structured, traceable and overall reliable than one portrayed by a single-line-item.
Furthermore, you can have multiple schedules open simultaneously. Primavera P6 allows the user to work on several projects at a time efficiently by creating logical links between them.
